Managing users in workspaces

What can users of a workspace do?

Ready to work with your team? With Visualping Business, you can share workspaces and keep track of your team's monitors and notifications in one place.

  • Everyone in a workspace sees all of its monitors. Access is set per workspace, not per monitor. If a teammate can't see a monitor, make sure they're a member of the workspace it's in.

  • Everyone in a workspace receives its email alerts. Each user can mute a workspace to stop receiving alerts, without affecting anyone else.

  • What users can change depends on their role. See User roles below.

Note: You must be an Admin to invite, edit, or remove users.

User roles

Each user has one of three roles. Each role includes everything the role below it can do.

Role

Applies to

What they can do

Admin

All workspaces in the organization

Everything an Editor can do, plus invite and remove users, change roles and workspace access, manage billing and organization settings, manage presets, connect organization-wide integrations (such as Slack and Google Sheets), and access the Developer (API) settings.

Editor

The workspaces they're assigned to

Everything a Viewer can do, plus create and edit monitors, use bulk editing, and change notification settings.

Viewer

The workspaces they're assigned to

View monitors and changes, use reports and exports where your plan includes them, and manage their own profile settings. Viewers can't create or edit monitors.

Invite a user to your team

Step 1:

Open the Users page

Navigate to Settings > Users.

Step 2:

Click Invite Users

Click Invite Users.

Step 3:

Fill out the invite form

You can invite up to 5 users at a time.

  • Enter the user's email address and name (optional).

  • Select the user's role: Admin, Editor, or Viewer.

  • For Editors and Viewers, select the workspaces they should join, either All or specific workspaces. Admins automatically have access to all workspaces.

Step 4:

Send the invite

Click Invite Users. The user receives an invitation email and is added to the team once they accept. All Admins get an email when an invite is accepted.

Note: Invitations expire after 7 days. If an invite expires, send a new one. Re-inviting the same email address replaces the earlier invite.

Managing user profiles, roles, and permissions

To change an existing user's name, role, or workspaces, go to Settings > Users and click the pencil icon next to their name. For step-by-step instructions and what happens when you change someone's access, see How do I manage user profiles and permissions?

To remove a user from the team, see How do I remove users from my team?

Frequently Asked Questions

I'm an Admin. How do I stop receiving notifications for all workspaces?

Admins have access to every workspace, so they receive alerts from all of them. You can mute any workspace you don't want alerts from. This only affects your own notifications, not other users in that workspace.

My teammate can't see a monitor. Why?

They probably aren't a member of the workspace the monitor is in, or they're looking at a different workspace. Edit the user and add them to that workspace.

Why can't I invite a user?

  • Your trial has ended. New invites can't be sent after a trial ends. Upgrade to a paid plan to keep inviting users.

  • They're already on your team. Edit their access instead of inviting them again.

  • They belong to another Visualping organization. A user can't be added while they're part of a different organization. Contact our Support team for help.

  • You're not an Admin. Only Admins can invite users.

The invite link doesn't work. What should I do?

Invitations expire after 7 days. Ask an Admin to send a new invite.

I'm having issues, what can I do?
